Provision Analytics Inc. ("Provision," "we," "us," or "our") provides a software platform and related services for food safety, quality, and compliance management. This Privacy Policy explains how we collect, use, disclose, and protect personal information when you visit our website, communicate with us, or use the Provision platform and related services.

"Personal information" means information about an identifiable individual. This does not include information that has been anonymized or aggregated so that it no longer identifies an individual.

 

1. Our Role

When an organization uses the Provision platform, that organization controls the information submitted by its users into the platform ("Customer Data"). We process Customer Data on behalf of that organization and in accordance with our agreement with them.

If you use Provision through your employer or another organization, please contact that organization with questions about the information it collects, uses, or stores in Provision.

This Privacy Policy also explains how we handle personal information we collect directly, such as website visitor information, account information, support requests, sales inquiries, and communications with us.

 

2. Personal Information We Collect

Contact and business information. Such as your name, email address, phone number, job title, company, and the contents of messages or forms you submit to us.

Account information. Such as your name, email address, username, role, organization, permissions, and related account settings.

Platform usage information. Such as log-in activity, feature usage, records of actions taken in the platform, device and browser information, IP address, and technical logs.

Website and marketing information. Such as pages viewed, referring pages, general location derived from IP address, cookie identifiers, and interactions with our website or emails.

Customer Data. Information submitted to the Provision platform by customers and their authorized users. Customer Data may include personal information depending on how a customer uses the platform.

 

3. How We Use Personal Information

We use personal information to:

  • provide, operate, secure, and improve our website, platform, and services;
  • create and manage user accounts;
  • authenticate users and manage permissions;
  • respond to inquiries, support requests, and feedback;
  • communicate about our services, including service notices and product updates;
  • send marketing communications where permitted by law;
  • monitor, troubleshoot, and protect the security and reliability of our services;
  • comply with legal obligations and enforce our agreements; and
  • protect our rights, users, customers, and services.

We do not sell personal information. We do not use personal information to make automated decisions that produce legal or similarly significant effects about individuals.

Customer organizations. If you use Provision through an organization, information about your account and activity may be available to that organization and its authorized administrators.

Legal and compliance purposes. Where required or permitted by law, regulation, legal process, or to protect our rights, users, customers, or services.

Business transactions. If we are involved in a merger, acquisition, financing, reorganization, or sale of all or part of our business, personal information may be disclosed or transferred as part of that transaction, subject to appropriate protections.

We do not sell or rent personal information to third parties.

 

6. Where Information Is Stored and Processed

We are based in Canada. Personal information may be stored or processed in Canada or in other jurisdictions where we or our service providers operate.

When personal information is processed outside your jurisdiction, it may be subject to the laws of that jurisdiction. We use contractual and other reasonable safeguards designed to protect personal information handled by our service providers.

 

7. How We Protect Personal Information

We use reasonable physical, organizational, and technical safeguards appropriate to the sensitivity of the personal information we handle. These may include access controls, confidentiality obligations, security monitoring, encryption, backups, and internal policies and procedures.

No method of transmission or storage is completely secure, and we cannot guarantee absolute security. If a privacy or security incident involving personal information requires notice under applicable law, we will provide notice as required.

 

8. How Long We Keep Personal Information

We keep personal information only for as long as reasonably necessary for the purposes described in this Privacy Policy, to provide our services, to comply with legal obligations, to resolve disputes, and to enforce our agreements.

Customer Data is retained in accordance with our agreement with the customer organization.

When personal information is no longer needed, we delete or anonymize it, unless retention is required by law.

 

9. Your Rights and Choices

Depending on where you are located, you may have the right to request access to personal information we hold about you, ask that it be corrected, request deletion, withdraw consent, or ask questions about our privacy practices.

If your request relates to Customer Data controlled by a Provision customer, we may direct your request to that customer organization.

You may also contact the privacy regulator in your jurisdiction, including the Office of the Privacy Commissioner of Canada.

You may unsubscribe from marketing emails by using the unsubscribe link in the email or by contacting us.

 

10. Children's Privacy

Our website, platform, and services are intended for business use. They are not directed to children or individuals under the age of majority. We do not knowingly collect personal information from children.

 

11. Changes to This Policy

We may update this Privacy Policy from time to time. The "Last updated" date above indicates when this Privacy Policy was most recently revised. If we make material changes, we will provide notice where required by law.
